STUDENT VOLUNTEER OPPORTUNITIES

The purpose of the student volunteer is to ensure that a meeting operates smoothly from all aspects. This includes someone who may be a runner for supplies to assisting in the technical sessions. All student volunteers should be a GSA student member. The following information is to be used as a guideline for your meeting.

Technical Session Room Volunteer

All rooms will probably be set up just prior to the meeting beginning. The AUDIO VISUAL CONTRACTOR will check the podium mic, the electric pointer, and the timer if using one. So most of the work is done when you arrive. Even so, please:

Check each technical session room each morning at 7:30 a.m.
Have the correct session sign in place by a half an hour prior to sessions beginning.
Be sure the students know the location of the light switches and how they work.
Have each student check in with the Session Chairman prior to the session beginning.
If using laser pointers, ask the student to be sure the pointer is left at the podium at the end of the session. (Some speakers forget and put the pointer in their pockets.)
Student should check during the sessions for problems such as sound bleeds between rooms, temperature or lighting adjustments, or overcrowding.

Poster Session Volunteer

This volunteer should see that all posters are up by the starting time (so that adjoining poster booths will not be disrupted).

Also this person should see that all poster materials are removed for the start of the next session. Occasionally an author will leave materials in the booth beyond the end of a session. Please remove the materials and store them in your office. If the materials are not picked up by the end of the meeting, give the material to the local committee chair.

You should have speaker and title signs for each poster session for the student to post at the start of each session.

Registration Volunteer

Assist GSA Coordinator and Local Committee in setting up the registration desk prior to the start of the meeting. Volunteers also take part in bag stuffing of registration material, local area information, programs, etc.

Badge Distribution

Handing out badges and assisting registrants with room locations and general meeting inquiries.

Speaker Ready Room

Assisting presenters with formatting and loading talks onto thumb drives and delivering them to session rooms.

TICKET TAKER

Collecting tickets and taking final head count at ticketed events.

RUNNER

Being available for errands and tasks that need to be addressed in the moment.

SIGN CHANGER

Replace signs outside meeting rooms after each session with next sessions information.
