Section Meeting Safety Guidelines

GSA is committed to ensuring a safe and welcoming environment for all participants at Section Meetings. This guide provides key safety recommendations to help you navigate the meeting, field trips, and travel with confidence.

Personal Safety and Awareness

• Wear your conference badge visibly while in meeting spaces.
• Keep personal belongings secure.
• Travel with colleagues or in groups, especially after evening events.
• Stick to well-lit, populated routes between venues and hotels.
• Follow all venue and local authority guidance.
• If you feel unsafe, contact conference staff or venue security.

Field Trip and Outdoor Safety

• Review safety briefings before departure.
• Wear appropriate clothing and protective gear.
• Bring water, sun protection, and any required equipment.
• Follow instructions from the trip leaders.
• Inform leaders of any medical or mobility concerns.

Note: Field conditions may include uneven terrain, changing weather, or remote locations.

Travel and General Safety

• Monitor official travel information and local guidance.
• Check flights and official travel updates before your trip.
• Carry identification and travel documents.
• Follow local laws and customs.
• Use reputable transportation services.

Weather and Environmental Conditions

• Check local weather forecasts.
• Prepare for altitude, heat, cold, coastal, or desert conditions as needed.
• Follow guidance regarding environmental hazards such as storms, wildfire smoke, or extreme temperatures.

Reporting Safety Concerns

If you encounter a safety issue or incident, report it to:

• Venue security
• GSA leaders: Executive Director, President, Councilor, Division, Section, or Field Trip Leader.
• RISE Liaisons: GSA member or employee who has been trained to handle conduct concerns. RISE Liaisons wear RISE pins and are present at all GSA annual and section meetings.
