Quick Terminology


Below are some terms and acronyms you might hear:

ADA Americans with Disabilities Act.
Attrition Clause Allows the hotel to impose a penalty if the actual guest rooms used are significantly less than the rooms blocked.
AV Audio Visual Equipment.
BEO (Banquet Event Order) Hotel's information sheet that provides details of meeting function such as room set, catering, AV, billing, etc.
Block The number of guest rooms reserved for a group.
DMC (Destination Management Company) Professional management companies typically hired to produce events, activities, tours, staffing, and transportation utilizing local knowledge and resources.
Function Form Gives a detailed breakdown covering a single event. Also called a banquet event order.
Lanyard A neck cord that attaches to a name badge so it can be hung around a person's neck.
RFP (Request for Proposal) Sent to contractors to request a bid for services (usually hotel, AV, exhibit contractor, off-site caterer, etc.).
Second-tier Cities Suburbs of major cities and smaller cities that offer the organizer an attractive location and at the same time provide less costly accomadations and transporation.
Slippage Reduction in number of guest rooms used from the original reserved block.
Site Inspection A tour of the property conducted by representatives of the property in order to determine is the site is suitable for the meeting.
RFP (Request for Proposal) Sent to contractors to request a bid for services (usually hotel, AV, DMC, exhibit contractor, off-site caterer, etc.).
Walk A term used for a person who has a guaranteed reservation but is moved to another hotel because the hotel is overbooked.
