Fees

Please note changes to space request fees. A 3-tier pricing system based on when you submit your space request .

Prior to or on 5 June:

All space request fees must be paid with a credit card. When completing the space request form you can either:

  • Pay with a credit card at the time of submission
  • Select the “pay later” option and pay for your space request submissions prior to the 5 June deadline. The “pay later” option is for those groups with multiple events that want to pay for all of their events with one payment instead of individual payments for each event.

6 June or later:

Space request submissions received after the deadline will not have the “pay later” option. All space request submissions will require payment with credit card at the time of submission.

Your event will not be assigned a location until your space request fee has been paid.

*Internal GSA Meetings includes GSA headquarter staff events (department, Ad hoc committees and Council); OFFICIAL GSA Committee/Division/Section business meetings, award and lecture ceremonies, receptions and luncheons. Sponsorship by a division or committee does not entitle a group or event to complimentary meeting space. **Off Site Events are events that are held at a location other than one of the Official GSA Event Locations (Charlotte Convention Center, Hilton Charlotte City Center, Westin Charlotte). These events will be listed in the Program (Alpha and Chronological lists) free of charge provided information is submitted to GSA via the Space Request System prior to 1 July. Submissions received after 1 July will be listed in the Program Addendum.

When you hold an event through the GSA space request process you do not have to pay a room rental fee to the facility where your event is being held. There are also no food/beverage minimums for you to meet for your event. All space is assigned by GSA on a first come-first served basis.

Groups are responsible, and will be billed, for all food, beverage, audio-visual, etc. charges related to an event. Contact Becky Sundeen, Meetings Manager, , with any questions relating to the guidelines or the space request process.
