Editorial Assistant

Duties and Responsibilities
Editorial Assistant supports managing editor of one or more of GSA’s publication projects. Editorial Assistant assists with editorial, clerical, production, project tracking and any other work assigned by the managing editor. Specific duties vary based upon the current projects and publications.
Specific Duties Include:
- Assists in production process (e.g., preparing manuscripts using eXtyles software, pre-flighting of figures and tables, coordinating cover art);
- Provides technical support for authors, editors and reviewers using online manuscript submission and peer-review system and troubleshoots system;
- Manages accounts receivables for manuscripts (invoice and payment tracking expense tracking);
- Reviews copyedited manuscripts, page proofs, and printer’s hard-copy and/or online proofs;
- Codes metadata for online content (e.g., using XML); performs quality checks on content before it is posted online;
- Extensive correspondence with authors and editors; handles queries from authors, contract copyeditors and proofreaders, production staff, and others;
- Sends copyedited manuscripts, sized figures, formatted tables, and page proofs to authors to inspect or proofread;
- Tracks publication data (payments, e-offprints, manuscript statistics, other);
- Updates and maintains various web pages;
- Copy edits and/or proofreads manuscripts and articles as needed;
- Performs administrative duties such as processing incoming mail, maintaining drives, and archiving;
- Other duties as assigned.
Education and/or Professional Experience:
- Bachelor’s degree, preferably in English, journalism, or communications;
- Minimum of 2 years of experience in a publishing environment as an editorial assistant or copy editor. Experience with an earth or other science education, publication preferred;
- Ability to communicate with and work amicably with other staff members, scientist authors, and editors;
- Ability to do many tasks efficiently and keep track of stages in the publication process,
- Must have an excellent command of English and a good general knowledge of scientific terminology;
- Highly proficient in computer and applications, including database management, Microsoft Office, Adobe Applications, HTML, XML; comfortable with learning new software and systems;
- Some knowledge of manuscript tracking systems and the print/electronic publication process preferred.
The selected candidate may be required to work overtime occasionally and should be willing to travel at least 2 times per year. Qualified candidates will be subject to a background check.
Working environment/Physical Requirements: Extensive computer work—six or more hours per day; multiple projects and multiple deadlines that create a demanding work environment are standard; must be able to move and lift luggage, equipment, and boxes.
